Station A Retreat
TERMS AND CONDITIONS
Please read the Terms and Conditions before placing a booking of note.
Station A Retreat Holiday Cottage can accommodate a maximum of 4 guests.
Booking Conditions:
The booking contract is between Station A Retreat (referred to as Station A, the property, we or ours,) and the person making the booking on behalf of their party (referred to as Lead Booker, holidaymaker, you or yours).
The Contract will not take effect until the deposit is received.
Bookings:
When you submit your booking through the online reservation system, you will receive an automated booking summary email, to the email address provided. Please check the email for any errors. The automated email does not form a contract between you and Station A Retreat. Any issues must be notified by email or telephone within 7 days following the receipt of the booking confirmation or before the start of your stay if that occurs within 7 days.
Station A Retreat handles bookings from persons over 25 years of age.
We reserve the right to refuse a booking, without giving reasons.
Payment:
Bookings are confirmed on receipt of the booking form and receiving the deposit of 30% of the holiday cost. The balance of the rental will be due for payment 8 weeks before the start of your holiday. We are under no obligation to remind you that payment is due. We will attempt to send you a reminder via email when the balance is due. The balance should be paid within 5 days of receipt of the reminder. We reserve the right to cancel a holiday where payment has not been received within 7 weeks of the holiday start date, and the deposit will be forfeited. If card details are stored on file, Station A Retreat will automatically deduct the balance from the card on the due date.
If the booking is made within 8 weeks of the holiday start date, then payment will be due in full.
Cancellation by you:
Cancellations must be received in writing/email, and we will make every effort to re-let the property. All refunds will be subject to deduction of a non-refundable administration fee of £100.
If the booking is cancelled more than 8 weeks prior to the holiday start date, you will receive a full refund, subject to the non-refundable administration fee.
If the booking is cancelled with less than 8 weeks to the holiday start date, 100% of your booking cost will be retained, unless we are able to resell your dates, in which case, the amount refunded will be the rebooking value, (which may be less than you paid), less the administration fee of £100.
However, if we are unable to re-let, we have to advise you that you will be liable for the full cost of the holiday.
We cannot accept responsibility or pay any compensation where the provision of the holiday is prevented or affected by reason of circumstances that amount to “force majeure”. These include any event which we could not, even with full due care, foresee or avoid. Such circumstances include the destruction or damage of the property through fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic, pandemic and all similar situations beyond our control.
We strongly advise that you take out holiday cancellation insurance in advance of your trip. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.
Travel Insurance:
We strongly recommend that you obtain appropriate and comprehensive travel insurance for UK holidays which covers all members of your group. This should ideally cover (although not limited to) illness, cancellation and injuries during your stay.
Date changes:
Where possible, we will try to help you change the date of your booking if you can no longer make the dates originally booked. However, this is entirely at our discretion, and if we cannot make a change, then the standard cancellation policy will apply. All date changes must be requested more than 7 weeks in advance of the original booking, otherwise the standard cancellation policy will apply. There will be an administration fee of £25 to cover the costs we incur in making the change to your booking. You must also pay to us any additional Accommodation costs due as a result of the change, which we will confirm at the time of the change of booking.
Any cancellation charges which would have been payable but for the change to your booking may be charged and shall be calculated from the start of your original booking date, rather than the date of your revised booking.
Cancellation by us:
We will endeavour to make sure the property is available for the dates contracted. In the unlikely event the property becomes not available and we have to cancel the booking due to reasons beyond our control, we will refund all monies paid by you. We shall only be liable to return the monies received. No compensation or consequential losses shall be paid.
Miscellaneous:
The property owners reserve the right for them or their representative to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.
The property owner is entitled to ask the holiday maker to leave the property, without any refund if, in the property owner’s opinion, the behaviour of the holidaymaker and/or their party is unacceptable.
The property owners reserve the right to refuse entry to anyone, who in the property owner’s opinion is not suitable to or capable of taking charge of the property.
The property owners reserve the right to ask the holidaymaker and their party to leave Station A, without refund, should the behaviour of the holidaymaker and or their party be considered by the property owners to be unreasonable.
Occupancy:
The maximum number of people entitled to stay at Station A is 4, and only those people named on the booking form are entitled to stay. Please note, we do not accept guests under the age of 16 years old. Any persons other than members of your party must not use the facilities of Station A. We reserve the right to refuse admittance if these conditions are not observed. If it is found that more people than agreed are using the property, this will be considered a breach of contract, and the holidaymaker and their party will be asked to leave immediately without any refund or compensation. Sub-letting of the property is prohibited.
Unfortunately, we can not accommodate children under the age of 16 years old.
Pets:
Unfortunately, pets are not allowed on the premises of Station A.
Arrival / Departure:
Your accommodation will be available to you from 4pm on the arrival day of your holiday booking. Station A must be vacated by 10am on the day of departure. Late departure will result in an additional housekeeping charge being made.
Liability:
We take no responsibility nor any liability for any damage or loss, injury or sickness or inconvenience to you or any member of your party, or any vehicles or possessions belonging to you or any member of your party, howsoever caused, nor shall we be liable for any additional expenses incurred by you or your party, whether directly or indirectly caused by or arising from any aspect of your booking with us. Vehicles and possessions are left entirely at the risk of the holidaymaker. Under no circumstances shall our liability to you exceed the amount paid to us by you.
Your Responsibilities:
The holidaymaker should make every effort to keep the property, fixtures and fittings, and all contents, (inside and outside the property), in the same state of repair and condition as at the start of the holiday. You will be responsible for the cost of any damage to Station A or its contents caused by your or any member of your party.
We have the right to charge for breakages and damages, and if damage is directly attributable to the guest, we reserve the right to take payment from the card on file, or where we hold a security deposit or other funds on account, we will take the extra charges due from these accounts.
We may also charge you an additional £100, plus any costs we incur putting the Accommodation into a clean and safe condition after your stay, if Station A is not left in an acceptable condition and extra cleaning above and beyond what is normally expected, including any costs associated with decontaminating the Accommodation of allergens, contagions. We recommend that you have comprehensive insurance in place to cover this.
Smoking and Vaping:
Station A is a strictly NO SMOKING PROPERTY. Smoking and vaping are strictly prohibited inside Station A and on the outside premises of Station A. Failure to comply will result in an additional fee of £500, to cover deep cleaning and redecoration, and clearing of any outside debris.
Electric Vehicles and Bicycles:
Electric vehicles and electric bicycles must not be charged at the property under any circumstances. Domestic electric vehicle chargers are not suitable for use at Station A, pose a fire risk, and therefore are strictly forbidden. You are liable for any damage or loss suffered by the property owner due to your unauthorised charging of electric vehicles or electric bicycles, or the use of domestic chargers.
Complaints:
Every endeavour is made to ensure your stay at Station A is memorable for all the right reasons. However, we do recognise that from time to time things do go wrong. In these circumstances, it is the responsibility of the holidaymaker to make any such problem know to the property owners or the Housekeeper immediately it becomes apparent, thereby giving the property owners the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained.
Please note, Station A is an old building in a rural area, and consequently may attract spiders. Cobwebs can be spun very quickly and their presence does not mean the Accommodation has not been cleaned.
Lost Property:
If you believe you have left any of your possessions behind at Station A, please contact us as soon as possible. We reserve the right to charge you for any storage and delivery costs that we incur in relation to your lost property. We charge a lost property charge of £15 to cover our administrative costs and standard Royal Mail delivery up to 2kgs in the UK to return your items to you (subject to the terms of this clause). If a request to return your items deviates from these conditions, then we reserve the right to charge you any additional costs. Where possible, we will hold lost property for 28 days after which it will be disposed of. Perishables will be disposed of immediately and are therefore un-returnable. In addition, we will only be able to return items permissible by Royal Mail.
Descriptions:
Whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made and some things do change, and we reserve the right to alter the details at any time. We will always endeavour to inform you of any significant changes to the published accommodation at the time of booking.
The holidaymaker accepts that no refunds are available for such discrepancies.
Onsite Rules:
*We ask all guests to keep to our rules of behaviour, behaving in a considerate and safe manner with respect to the property and neighbouring landowners and their animals.
* Station A is located in a rural area, and we ask that guests do not interrupt or endanger the livelihood of those working on the surrounding land.
*No barbeque equipment, fireworks nor sky lanterns are allowed to be used at the Station A premises, as they pose a risk of fire and are a danger to any neighbouring livestock.
*The entrance gates are strong gates and are maintained regularly, however, we do ask for guests to keep the gates closed and secured as much as possible, and closed behind you on your departure from Station A on your departure date. This avoids any wind blowing them and weakening the hinges, or damaging the gates.
*There may be occasional essential maintenance activities carried out at the property during your stay, without you being entitled to any compensation. We, or our representative, will endeavour to keep any disturbances to a minimum.
*If the site rules are breached, in serious circumstances, we may ask you to terminate your holiday without a refund.
Personal Details:
In order to process the booking, we will require certain information from the lead booker about the party. It may be used for administration purposes only, and for the request of feedback, or sending of future promotional or marketing literature. Any information will remain confidential and is GRDP regulated.
Law:
These terms and conditions are governed by the law of England and Wales. Any dispute the guest has with Station A shall be dealt with in either an English or Welsh Court of Law.
